Choose packaging for the moment guests receive it
An invitation box is encountered before the event. A welcome kit may be opened at registration or in a hotel room. A sponsor or VIP gift has its own handover, often alongside a greeting from the host. Those moments call for different box dimensions and a distinct presentation in the artwork.
Begin with the application that matches the handoff. Then consider what the guest should see first and what they will do with the contents after opening.
Separate invitations, welcome kits and gift presentations
Invitation and ticket presentations can centre on the printed piece, with room for a small accompanying item where needed. Conference and delegate kits need an arrangement for the selected materials and gifts to sit together. Event swag boxes provide a starting point when several branded items share the package.
VIP and sponsor presentations can centre the opening on a chosen gift. Hotel welcome and sports hospitality sets may need several items visible together. A compact gift benefits from a layout that gives it a clear position, while a larger assortment needs enough space for guests to view and lift each item.
Consider carrying and product access
A box handed to someone at a reception desk may need to be carried through the venue. A hotel-room gift may stay in place until it is opened. The filled size and weight matter in both situations, but the handling is different.
Plan the box dimensions and insert arrangement around the selected items, including room to lift them out. A heavy bottle and a printed programme each need an appropriate position. Fragile or heavier contents need custom insert support engineered into the design. Individual mailing also needs its own transit-packaging discussion.
Give the host’s message a place in the presentation
Exterior artwork can identify the event or host at the handoff. Printing on an agreed interior surface can reveal a welcome or thank-you message when the box opens. Decide which message should appear at each stage before choosing the printed areas.
Foil can highlight the event identity or a selected detail. Embossing and debossing add a raised or recessed treatment, while spot UV paired with soft-touch lamination shapes the tactile feel. The selected material and construction determine which combinations are suitable.

Our team sets up your dielines and prepress files at no charge using your graphics. You get a digital proof to verify copy placement and layout before we run the job.
Where the contents or handoff need a physical review, choose an existing or custom sample suited to the check. Put your actual gifts into the tray to test the fit and lid action. Getting a sample is completely optional, and we quote the cost and timing in advance. Sample charges are credited against the final production order.
